Tutorial: School Sport Management with Sportivo

Welcome to the ultimate guide for managing your school efficiently on Sportivo!
Whether you're a seasoned administrator or a novice, this tutorial will walk you through the essential steps to streamline your school sport management process.

Here's what we'll cover:

Profile creation.
Role permissions.
Registration of players.
Adding players & updating team sheets.
Matches or fixtures .
Updating results and stats

1. Profile creation:

If you haven't created a profile yet:

Check your email, including spam/junk folders, for a message from us with instructions.
Follow the email instructions to create your profile.

If you have a profile but forgot your password:

Use the provided password reset link to reset your password.

2. Role permissions:

Administrators:
Full access, including managing registrations, creating fixtures, result updates, calendar events, creating chat groups, and player management.
Coaches, assistant coaches, and team managers:
Manage players, update results, create calendar events, manage team sheets.
Match administrators:
Can update match results only.

3. Registration of players:

For high schools:

For high school students we recommend registering through our app for a seamless experience. Here's how it works:

Download the App: Students can download the Sportivo app and access the registration feature.
Scan the QR code: Each school gets a unique QR code for sport registration. By scanning this QR code within the app, students can initiate the registration process quickly and easily.
Select sporting codes: Within the registration form, students can choose the specific sporting codes they wish to register for.

For primary schools:

For primary school students, parents play a key role in the registration process. Here's how parents can register their child for sport:

Download the App: Parents can download the Sportivo app to their smartphones.
Fill out registration forms: Parents will fill out the Player Registration Form provided within the app by the school. This form ensures that all necessary information is captured for enrolment.
Choose sporting codes: During the registration process, parents will have the opportunity to choose the respective sporting codes their child wishes to register for.
Automatic linking: Upon completion of the registration form, the parent and child will be automatically linked within the system. This linkage enables parents to receive all relevant communications regarding their child's sports activities.

Instructions for Parents regarding Registration:

Download and Sign Up:

Download the Sportivo Mobile App and create a profile.

For Primary School/Minors:

Follow the instructions provided to register for the relevant sporting codes through the registration form within the Sportivo mobile app if you are completing the form on behalf of your child.

For High School:

If your child registers and creates a profile, you will automatically be included in all communications, fixtures, and teams they join. Ensure your details are listed in the alternative contact field on their registration form for this to apply.

Team Assignment Process:

Allow some time for players to be assigned to their respective teams by the school's Sport Office. This process will be handled promptly.

Please Note: (Parents)

When completing the form on behalf of your child, it will not create a profile for the child, however your child will be linked to your profile once he/she has been registered and their registration has been accepted.

Registration management:

Once registrations are submitted, they will appear as pending on the Sportivo platform. School administrators will have the authority to review and manage these registrations efficiently.
Administrators can accept or reject registrations as needed, ensuring that the enrolment process is streamlined and organised.
School administrators will be able to accept/reject these registrations by following this guide:

By leveraging our player registration feature, schools can simplify the enrolment process for students and parents alike, while providing administrators with the tools to manage registrations effectively.

4. Adding players & updating team sheets:

Admin portal: Add players to teams, designate leadership, and manage team sheets.

5. Matches or fixtures:

Types of matches and fixtures

Matches or fixtures in our sporting app fall into four main categories, each serving a different purpose and scenario:

Derbies or interschools:
This category is utilised when a school competes head-to-head with another school across multiple sporting codes or just one specific sporting code. To set up a derby, follow the steps outlined in this guide: Creating a Derby Tournament on Sportivo
League matches:
If your team participates in an organised league running on our platform, these fixtures will automatically be included in your team's schedule. Leagues typically specify the dates or weekends when matches take place. However, you can adjust the date and time of fixtures for accuracy. Friendlies or adhoc matches:
Friendlies are perfect for team tours or general matches where the schedule may vary. You can create a single group for the year and keep adding more matches as needed. To set up a friendly match, refer to this guide: Creating a Friendly Tournament on Sportivo
Tournaments:
If your school hosts tournaments, our system can assist in hosting and managing them efficiently. To learn how to set up a tournament, check out this guide: Creating a Tournament on Sportivo

By categorizing matches and fixtures, our sporting app ensures clarity and organization in managing your team's schedule, players, parents and supporters will receive push notifications for any changes.

6. Updating results & statistics:

Admin portal: Update match results for your teams fixtures. Use the provided guide to update results:

7. Calendar events:

Schedule training sessions, meetings, game analysis sessions, and social events on the Sportivo App.
Players and parents receive push notifications for event changes.
Record attendance if desired.

8. Chat groups:

Facilitate easy communication within your school.
Automatically maintained by the system.
When players move teams, chat groups update accordingly.
When coaches are added, they are automatically included in chat groups. Create chat groups using the provided link:
