Creating a Derby Tournament on Sportivo

Creating a Derby Tournament is done much the same as other tournaments, however, the structure of the tournament will be different.  You will click on team ages and levels and select all that apply.  The app will automatically add the teams and derby structure.  Fixtures can be modified, and playoffs added.  Live match statistics can be recorded, confirmed, saved and published on the app.


1. Navigate to https://sportivo.app/admin/#/public/home


2. Click "Log in" in the top right corner. 


3. Click "Sign in with Email and Password" 


4. Click the Organisation dropdown. 


5. Click "Competitions"


6. Make sure the start and end date are within the range of the Derby Day you would like to set up. 


7. Click "Active"


8. Click "SEARCH"


9. Click on the 'Add' button in the first toolbar. This is what we call 'Creating the Event"


10. Type the name you would like to give your Derby Day in the Description field. 


11. Click "Event Type"


12. Choose "Derby Day"


13. Choose the Start Date.


14. Choose the End Date.


The next step is to select the 'Match Confirmation Rule.' Please note that there are two options relevant to a Derby Day structure:

  1. 'Coach & Ast/Manager - One Team Update Req.'
    Select this option if you want your coaches and managers to have automatic access to update the results for this Derby Day. This access will only be available to coaches and managers who have been assigned to the teams participating in the Derby Day.

  2. 'Tournament Tech Table.'
    Choose this option if you prefer to control who has access to updating results. For this rule, you will need to manually add individuals as match administrators in your members list and assign them to the Derby Day.

Ensure you select the option that aligns with your event's needs.


15. Choose the relevant Match Confirmation Rule.


16. Choose the School that your School is competing against. 


To easily navigate through the list of Schools, simply type the first two letters of the School's name on your keyboard, and the list will adjust accordingly. Making it easier for you to select the School.


17. Choose the School from the list. 


18. Click "OK" once you are done. 


19. Select the Event you just created to begin setting up the fixtures. 


20. Click on the 'add' button at the top right of the second toolbar that appears. 


In a Derby Day Structure, you will be able to add different sporting codes under one Event that you created.


21. If you have different sporting codes, you can change the name of each tournament in the description field. This allows you to specify the details accordingly. 


22. Choose the Sport Code. 


23. Choose the Sport Code from the Dropdown List.


24. Click "Gender"


25. Choose the relevant gender.


26. Click "Age Group" 


27. Choose the appropriate Age Group.


28. Type the appropriate Periods per Match. 


29. Type the appropriate Minutes per Period.


30. Click "OK"


Once you have clicked "OK" after filling in the details, you would've created your first Derby Day.


31. Click on the three dots next to the Derby Day you have created to start setting up the structure and creating your fixtures.


32. Choose "Manage"


33. You will be directed to the "Details" tab, where teams are generated and all the relevant information is located. 


34. To add teams to the Derby Day, click the Age Group button. 


Please note that you will only be able to add age groups based on the teams you have created for the specific sporting code and gender in your organisation.


35. Click "Age Group"


36. Choose the appropriate Age Group from the dropdown.


37. Click "OK"


38. Click on the Team Levels next to the Age Group you have added. 


39. Choose the level. 


Take note that this will also only give you a list of team levels that are based on the teams you have created for the specific sporting code and gender in your organisation. (You may choose more than one)


40. Click "UPDATE"


41. Once you have added all your age groups and team levels, click on the three dots in the top right corner of the screen.


42. Choose "CREATE GROUPS"


You will see the teams appear under Tournament Teams.


43. Click on the three dots in the top right corner of the screen. 


44. Choose "CREATE STRUCTURE"


45. Click on the 'Play-Offs' Tab.


46. The system will pre-populate the fixtures for you, but you may add more by clicking the add button on the right.


47. You can choose however many matches you would like to add and type it into the field. 


You will be able to either manually enter the fixture details or download the excel spreadsheet to populate the details and add afterwards.


48. To download the Excel Spreadsheet, click on the three dots in the top right corner of the screen. 


49. Click "DOWNLOAD FIXTURES"


You will now be downloading the excel spreadsheet where you will create your fixtures and allocate their times, dates, and locations. 


50. When opening the Excel spreadsheet, you will see that there are columns marked in purple. Please do not edit those columns. You will only be editing the following columns: Match Date, Match Time, Match Location, Team 1 & Team 2.

The Team 1 and Team 2 columns have dropdown's with the teams that you selected in the structure of your league. This will make assigning teams to fixtures much faster.

51. Once your Excel spreadsheet is complete, please save the document to be uploaded to Sportivo.


52. Navigate back to Sportivo.


53. Click on the three dots in the top right corner of the screen.


54. Choose "UPLOAD FIXTURES"


55. Click "Browse File"


56. Choose the Excel spreadsheet document you have just saved to be uploaded.


57. Click "UPLOAD"


Alternatively, you can manually enter the fixture details by clicking the pencil icon next to each fixture, as outlined in the steps below:


58. Click the pencil icon next to the fixture you would like to manually edit. 


59. Click the calendar icon to select the date and time.


60. Click the "Location" field to enter the appropriate location. If the location isn't listed, toggle the "Not Listed" button to enable free text entry. 


61. Select the team you would like to place in the fixture from your dropdown list.


62. Select the second team you would like to place in the fixture from your dropdown list.


63. Click "SAVE"


64. Repeat this process for each fixture. 


If you selected "Tournament Tech Table" as your Match Confirmation Rule at the start of this process, please follow the steps below to add the relevant match administrators to the Derby Day, allowing them access to update scores.


65. Click the "People" Tab.


66. Click on "Match Administrator"


67. Click "Available Match Administrator" on the right. 


68. A list of all the members you have assigned as Match Administrators will appear. Click the "Add" button next to the match administrators you want to include. 


69. They will now appear under your Match Administrators list and will have access to update scores for the Derby Day. 


You are almost done! The last step is to share the Derby Day when you have completed all of the above. This will allow spectators, coaches, managers, and players to follow the Derby Day.


70. At the top of the screen you will see the title of your league, and to the left of it there will be an arrow indicating to go to the previous page. Click on that arrow.


71. This will take you back to the competitions page. Select the Derby Day event you would like to share. 


72. Once you select it; the fixtures you created will populate in the second toolbar below. 


73. Notice there will be an 'X' under the 'Shared' title at the top. This means that it is not shared.


74. Click the three dots next to the Derby Day you would like to share.


75. Click "Share"


76. Notice that the 'X' will now change to a '✔' icon. This means that it is shared.
